Applications

When coming along to view a property, please ensure that you bring along photographic ID for all adults over the age of 18. If you decide to apply, we will need to have seen them in original form. A driving licence, passport or national ID card are preferred.

 

To apply, there is an application fee of £100 per property and we also require a reservation deposit of £150. If the landlord is happy in principle, we will then set-up a reference request via our referencing provider - Rent4sure. You will receive a link via email and the application can then be filled in online using a smartphone, tablet or computer. Once you have submitted your application, the referencing process starts and at this point the application fee becomes non-refundable. The reservation deposit is taken to protect the landlord in case of a prospective tenant backing out of an agreement to move-in, therefore only If an application fails with no move-in agreed, will the reservation deposit will be refundable.

Tenancy

Before the tenancy commences you will be required to sign an Assured Shorthold Tenancy Agreement, which is initially for a term of six months, as well as paying the administration charge of £150 (the reservation deposit is used for this). The agreement will detail the terms and conditions to which you are taking a tenancy. All tenants aged 18 or over must be named on the tenancy agreement. This is a legally binding document and you will be committing yourself to the initial term period. On the sign-up day we require advance cleared funds of the bond deposit and first months rent. We ask for this to be sent via bank payment the day before. All future rents are to be paid in advance via monthly standing order. Details will be provided to set this up from your account. If at the end of the tenancy period you wish to renew the agreement for a further 6 or 12 months there is a small tenancy renewal fee of just £30.

Deposit

We register all deposits with the Deposit Protection Service (DPS) and you will receive a confirmation along with a Deposit ID. The bond is usually set £100 higher than the monthly rent value. Insurance

The landlord will be responsible for insuring the building and their own contents. Your contents will not be covered by any policy the landlord may have. We therefore recommend that you get your own contents insurance policy.

Inventory

We will produce an 'inventory and schedule of condition' document for each property, backed up where necessary with digital photographs. This is to minimise the risk of any disputes at the end of the tenancy, and it is therefore vital that you check it carefully and notify us of any missing or additional items you wish to add.

Utilities

You will be liable for all utility charges on your rented property including gas, electricity, water and council tax. We will notify the companies of your occupation but it is in your best interests to ensure that any meter readings are recorded and that you register with all four providers to setup your own billing arrangements.

Inspections

All properties that are managed by Ashfield Lettings are subject to regular inspections in line with our policy. These are carried out to check the condition of the property and any gardens attached to it, to ensure the conditions of the tenancy agreement are being kept and to notify us of any problems or concerns you may have. We will always give you notice of these inspections so suitable times can be agreed.
